United Staffing Associates is partnered with a company on the North Coast to fill a temporary need for an experienced Administrative Assistant. This position provides high-level administrative and operational support to a busy department by coordinating daily office functions, preparing and managing professional documents and records, assisting with financial and budget-related activities, and delivering exceptional customer service to internal and external stakeholders. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment while maintaining accuracy and professionalism. This assignment is estimated to last approximately 3 months, though exact duration is unknown.
Duties:
• Provide advanced administrative and clerical support for departmental operations.
• Prepare, edit, proofread, and format correspondence, reports, agendas, meeting materials, presentations, and other business documents.
• Manage calendars, schedule meetings, coordinate events, and organize logistics with internal departments and external partners.
• Serve as a primary point of contact by responding to phone calls, emails, visitors, and general inquiries while providing accurate information and directing requests appropriately.
• Review applications, records, and other documentation for accuracy, completeness, and compliance with established procedures.
• Maintain confidential electronic and paper filing systems, databases, tracking logs, and records.
• Compile, enter, verify, and analyze data to prepare reports, spreadsheets, and other administrative documents.
• Support departmental budgeting, purchasing, invoice processing, payment requests, and basic accounting functions.
• Monitor office supply inventory, coordinate equipment needs and assist with vendor and purchasing activities.
• Assist with special projects, research assignments, program coordination, and event planning.
• Prepare meeting agendas, distribute materials, record meeting minutes, and maintain official documentation.
• Recommend process improvements that increase efficiency and enhance administrative workflows.
• Provide guidance and support to administrative staff as assigned.
• Perform additional administrative duties to support departmental operations.
Qualifications:
• Five years of experience providing advanced administrative, executive, or office support in a professional environment.
• Strong organizational and time management skills with the ability to prioritize multiple assignments and meet changing deadlines.
• Excellent written and verbal communication skills, including the ability to prepare, edit, and proofread professional correspondence, reports, presentations, and other business documents.
• Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and experience using databases, spreadsheets, and other office software.
• Knowledge of office administration, records management, document control, and standard business practices.
• Experience with budgeting, purchasing, invoice processing, financial recordkeeping, or other basic accounting functions.
• Ability to research, compile, analyze, and summarize information from multiple sources while preparing accurate reports.
• Strong attention to detail with the ability to maintain confidential files, records, and sensitive information.
• Ability to perform accurate data entry.
• Excellent customer service and interpersonal skills, with the ability to communicate professionally and effectively with employees, community members, vendors, and outside agencies.
• Ability to interpret and apply policies, procedures, and applicable regulations.
• Strong problem-solving skills with the ability to exercise sound judgment and recommend process improvements.
• Ability to work independently, adapt to changing priorities, and remain productive in a fast-paced environment with frequent interruptions.
• Demonstrated ability to establish and maintain positive working relationships across all levels of an organization.
Schedule:
Monday-Thursday, 8am-5pm, and every other Friday
Pay: $33.85/hr
