Cloacina, LLC manufactures Packaged Wastewater Treatment Systems for municipal and industrial clients. We are currently filling a temporary position for an Administrative Assistant/Accounting Clerk.
JOB DURATION & SCHEDULE
The position will last approximately 10 weeks, estimated to run from early/mid July 2026 through roughly the end of September 2026.
This is a part-time position. The regular work week is Monday through Friday (or select days), with hours TBD. Approximately 28-35 hours per week. (No evenings or weekends.)
GENERAL STATEMENT OF DUTIES
Assists Company Managers with day-to-day operations of the office.
SUPERVISION RECEIVED
Works under the general supervision of the Controller or other delegated personnel.
SUPERVISION EXERCISED
Responsible for assisting and supporting all employees with administrative needs. This job has no supervisory responsibilities.
TYPICAL DUTIES PERFORMED
The listed examples may not include all duties performed. Duties may vary from time to time and are at the discretion of the Office Manager. After proper training, employees may be required to complete tasks outside of their typical duties performed.
• Welcome visitors as soon as they arrive and connect them with the appropriate party.
• Answer company phone lines and direct calls to the appropriate party.
• Print and files invoices.
• Process check runs and reconcile printed checks with associated invoices.
• Process vendor invoices and enter accounts payable.
• Ensure offices, printers, breakroom, and conference rooms are stocked and ready for the day.
• Distribute incoming mail and scans to appropriate parties.
• Schedule meetings on various internal company calendars; ensure conference room(s) are ready for meetings including food, beverages, equipment, or materials that were requested.
• Assist with shipping and receiving, update mail tracking sheets, and follow up with sender/receiver on tracking information.
• Assist Office Manager with research, purchases, and acquisition of materials, apparel, furniture or seasonal decorations as directed.
• Assist Office Manager with day-to-day operations of the office.
• Perform employee incidental benefits including party planning as directed.
• Create draft Staff Reports, Memorandums, e-mails and summaries for the Office Manager to review and finalize.
• Understand and adhere to company policies and procedures.
• Attend necessary company meetings and training.
• Follow all company and facility safety precautions and participate in company safety training and certification.
• Work in a safety-sensitive function.
• Run work-related errands as required.
• Assist in the care and maintenance of company issued equipment including, vehicles, hand tools, power tools, computer, phone, lab equipment, etc.

EDUCATION AND/OR EXPERIENCE
High school diploma or general education degree (GED).
LANGUAGE SKILLS
Minimum ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write correspondence and fill out safety paperwork, operating and maintenance instructions, blueprints, maps, procedure manuals, timecards, and daily paperwork. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization or the general public. Ability to prepare routine reports and correspondence. Ability to effectively communicate with other employees and the general public.
MATHEMATICAL SKILLS
Ability to make arithmetic computations using whole numbers, fractions, and decimals.
REASONING ABILITY
Minimum ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form, and ability to deal with problems involving several concrete variables in standardized situations. Must be able to put information and instructions into oral, written or diagram form for the direction of other employees.
COMPUTER SKILLS
To perform this job successfully, an individual should have at the minimum working knowledge of the Internet, computers, cell phones, Adobe, and Microsoft Office Suites software. QuickBooks experience a plus.
CERTIFICATES AND LICENSES
• Maintain current CPR/First Aid certificate.
• Maintain a valid California Driver’s License and a satisfactory driving record.
OTHER QUALIFICATIONS
• Must be willing to work overtime, weekends, and holidays when required.
• May be required to travel as necessary.
• Knowledge of computer operations and software programs.
• Must be proficient in Microsoft Excel, Word, Outlook, and Adobe.
• Will be required to learn and become proficient with programs identified as necessary to improve the performance of the Company.
• Must have the knowledge and use of general office equipment including telephone system, copier, scanner, postage machine, laminating machine, binding machine and other related equipment.
• All other duties as assigned.
PHYSICAL DEMANDS

• Must be able to lift 50lbs.
• Must be able to sit, walk, stand, stoop, kneel, crouch, use hands to finger, climb, balance, talk, hear, crawl, drive and wear required Personal Protective Equipment (PPE) for extended periods of time.
• Must be able to climb stairs and ladders.
• Must be able to pull and push equipment resulting in 100lbs of force.

The wastewater industry can be hazardous due to exposure to biological and chemical hazards, as well as physical dangers, including but not limited to, confined spaces, slips, falls, wet and/or humid conditions, high and/or low altitude, moving mechanical parts, high and/or precarious places, fumes and/or airborne particles, outside weather conditions, extreme cold, extreme heat, risk of electrical shock, vibration, sewage, epoxy coatings, solvents, and excessive noise levels. Employees may come in contact with wastewater which contains human waste. Wastewater contains various bacteria, viruses, and parasites that can cause diseases in humans and animals. Workers can be exposed through contact with wastewater, aerosols containing pathogens, or contaminated equipment. Wastewater treatment processes also involve the use of various chemicals, some of which can be toxic or corrosive. It is imperative that employees wear proper Personal Protective Equipment (PPE) and follow safety protocols. While not mandatory, it is also highly recommended that employees stay current with vaccinations, including Hepatitis A, Hepatitis B, Tetanus, and Diphtheria.
